Scope of Services

Programming

Meet with key individuals to develop preliminary program and determine overall project objectives
Document requirements for project functions such as space, furniture, furnishings and equipment, and operational procedures
Ascertain the feasibility of achieving the project requirements within the building requirements
Coordinate with architect/engineer as necessary for base building requirements
Coordinate technical requirements for specialized areas such as structural, mechanical and electrical
Review project budget and develop schedule
Evaluate potential sites if required

Space Planning

Prepare preliminary diagrams illustrating functional relationships
Review alternative approaches to designing the scope of work
Prepare space plans based on programming information, identifying proposed furniture, fixtures and equipment (FF&E) package
Provide an evaluation of the program based on the project budget and develop a preliminary schedule

Design Development

Develop details of the design based on the approved schematic design
Recommend and implement material selections and details to be incorporated into the floors, walls and ceilings
Develop FF&E package as appropriate for the project and submit for review and approval
Prepare data as required for specialized areas
Submit a preliminary project cost based on the approved design concept
Complete necessary documentation of approved design concept as required for construction
Consult with architect/engineer as required for completion of construction documents

Furniture Specification

Develop and implement furniture specifications with manufacturers, including but not limited to, systems furniture and custom cabinetry, as required for project scope
Prepare documentation for bidding and procurement of approved FF&E package
Negotiate contracts with manufacturers and/or suppliers
Establish delivery and schedule installations for all furniture contracts
Arrange weekly meetings with suppliers to maintain order status
Review and approve/disapprove payment requests submitted by suppliers
Upon completion of furniture installation, provide report of missing and incomplete work

Contract Administration

Assist in bid negotiation for interior construction contracts
Review shop drawings and finishes to insure compliance with the approved design as presented in the construction documents
Visit project site to observe construction as deemed necessary to guarantee the quality of the work is proceeding in accordance with the construction documents
Review and approve/disapprove change orders and payment requests submitted by contractors and suppliers
Issue weekly job status reports
Upon substantial completion, provide punch list for all unacceptable work that does not comply with the construction documents

Move Coordination

Schedule meetings with designated office personnel to develop and prepare relocation plans
Prepare existing furniture inventories with digital images and provide evaluation for reuse and relocation
Provide necessary documentation for clarification of used furniture and equipment to be relocated
Prepare documentation for bidding and selection of moving vendor
Develop database to include origin and destination of office personnel
Develop and maintain schedule for phased move if required
Provide on-site supervision as required during scheduled move date(s) to guarantee proper placement of furniture and equipment
Coordinate resale, donation and/or disposal of excess furniture.
